At SpaceIMS, we take the security and privacy of your institution's data very seriously. This Privacy Policy describes how we handle, process, and protect your workspace details and database records.
1. Information We Collect
When you register an account or subscribe to SpaceIMS, we collect the following basic details:
- Contact Information: Your name, school/library name, email address, and phone number.
- Workspace Details: Chosen subdomain (e.g. `library.spaceims.in`), seating limits, and shift configurations.
- Transaction Logs: Payment reference codes generated during secure Razorpay checkout (no credit card numbers or UPI PINs are ever stored on our servers).
2. Absolute Data Isolation
SpaceIMS uses a modern multi-tenant database registry architecture:
Every customer gets a completely separate, physically partitioned Postgres database.
Your student registers, book logs, fee tables, and attendance histories are stored inside your dedicated tenant database. We do not run advertising, share database logs, or sell student records to any third-party marketing companies. The data belongs entirely to you.
3. Cookies & Session Storage
We use secure, essential session tokens and local storage values to authenticate your console admin session. We do not use third-party analytics or advertising cookies.
4. Data Backups & Encryption
All traffic between your browser and SpaceIMS is fully encrypted over HTTPS (SSL). Our physical databases are hosted in professional cloud environments with automated nightly backup snapshots, ensuring your records are fully protected from hardware errors.
5. Deletion & Deactivation
If you decide to stop using SpaceIMS, your subscription will expire without any automatic renewal charges. You can request the permanent deletion of your dedicated database and registry rows by emailing us.
